Managing mailboxes or PO boxes in Kenya

Hello everyone,

Something as simple as receiving mail can become a whole new experience when you settle in Kenya as an expat. Mailing management can indeed be different from what you are used to. In order to help other expats and soon-to-be expats, we invite you to share your insights.

How do you receive mail in Kenya? Do you have a traditional mailbox, a PO Box, or another system?

How was it to set it up and what are the formalities?

Is the postal service reliable and secure?

How do you handle missed deliveries or forwarding your mail?

In Kenya, there is no door to door postal service and there is a PO Box system, with the boxes being located in post offices (often in town centres).  A PO Box must be applied for vis the post office of your choice.  However, PO Boxes are difficult to obtain as there are not enough and there is a waiting list for them.  There is an annual rental for a PO Box.  Miss this and the PO Box is likely to be reallocated to someone else.


The Kenyan postal service is not particularly reliable - OK for letters etc, but parcels or letters which obviously contain something potentially of value get opened and at the very least the recipient is charged duty for the item (if it hasn't 'disappeared').


Missed deliveries - you probably will never find the item/wont be found.


Forwarding service - non existent.


Alternatives are courier services such as DHL, G4S, Fedex.  G4S is pretty efficient for deliveries within Kenya and the recipient must bring ID when collecting from the local depot.  I have found that international couriers such as DHL will not release parcels without duty being paid.  For the last item I sent via DHL, the duty came to more than the items value as duty is calculated on the basis of cost + freight + insurance. 


Finally, there a number of Somalian owned shipping agents, certainly from the UK to Kenya that specialise in shipping online shopping, such as from Amazon and which charge a flat per Kg rate with nothing else to pay.
